I’m willing to bet you encounter a PDF document at least once during the course of a business day. Am I right? Well, here’s a way to create PDF files from other applications such as Microsoft Word, Excel and PowerPoint — while saving a lot of money in the process.

What is a PDF File?

PDF stands for portable document format. This file format was created by Adobe in 1990, and it has become one of the most commonly used software products and file types used in business today. Basically, a PDF file lets you share documents with others in a widely readable format, while preventing those people from changing the document.

Business Uses for PDF Documents

So how can you use PDF documents in your business? That’s actually a hard question to answer, because there are so many different ways to use PDF documents in the modern world of business communications.

Off the top of my head, here’s a list of the different ways you might use PDF documents in your business. Just by glancing through this list, you can see the benefits of having software for creating PDF files.

• Create FAQ documents in Word format and convert them into PDF format so customers can download them from your website.
• Create e-books or training manuals in Word and then convert them to PDF files. Use them as lead generators / incentives on your website.
• Create special reports related to your industry and distribute them to industry journals / publications. Create it as a Word doc and convert it into a PDF file.

Creating PDF Documents

While just about everyone has Acrobat Reader installed on their work computer, not everyone has the ability to actually create PDF documents. As its name implies, the free version of Acrobat Reader only allows you to read PDF documents — but it does not let you create PDF documents by converting Word documents, Excel spreadsheets, etc.

If you want to create PDF documents, you basically have two choices:

1. You can buy the full version of Adobe Acrobat (a.k.a. “Acrobat Professional”) for around $450, or…

2. You can buy a PDF creator program for anywhere from $35 to $65.

PDF creator software programs are third-party (non-Adobe) tools that give you the basic capability to create PDF files from Word, Excel, PowerPoint, etc. Do an Internet search for “PDF software” or “PDF creator” and you’ll find plenty of these programs. Surprisingly, however, many people don’t even realize these products exist!

While you won’t have some of the more obscure capabilities that Acrobat Professional offers — such as creating form fields within your PDF docs — these PDF creators are still incredibly useful. And, obviously, they are much more affordable than the full version of Adobe Acrobat.

Which one do you need, the full version of Acrobat or one of the scaled down PDF creators? Here’s my take on the mater:

If you’re a graphic designer or I.T. professional, you’ll probably want the full version of Adobe Acrobat to create your PDF files.

But if you’re just a businessperson who wants to create PDF files from your other document formats, then you might want to consider a PDF creator program. You can get the same end result, but by spending less money in the process!

We have been using Microsoft Office for long time. Most of us have good command of Microsoft Word.
